Before the meeting
- Confirming the notice period your constitution and the Registered Clubs Act require
- Preparing the notice of meeting, agenda, and any special resolutions
- Finalising the annual financial statements and the auditor's report
- Confirming director nominations and the process for contested positions
On the day
- Establishing a quorum and recording attendance
- Running the order of business and chairing the resolutions
- Handling proxies, member questions, and voting
- Electing or declaring the board
After the meeting
- Drafting and distributing the minutes
- Lodging what the regulator requires and by when
- Updating the director register and statutory records
- Setting the compliance calendar for the year ahead
